Business/Features/Credit control

Know who owes you, when they’ll really pay, and what that does to your cash.

Every unpaid invoice gets a date it's likely to be paid, worked out from promises, payment plans and how each customer usually pays, and all of it feeds your cash flow forecast. Reminders chase a whole list in one go and stop for anyone who has paid or agreed a plan.

Credit control is included in Business Pro, £19 a month plus VAT.

Every invoice gets a date it’s likely to be paid, and the reason for it.

It learns how each customer pays from up to their last 12 settled invoices, then uses that to say when the money will really arrive. The source sits beside every date, so you know how much to trust it.

  • Habits in plain words: usually pays on time, usually pays early, or usually 9 days late.
  • Promises kept are counted per customer, so you can see whose word holds.
Your date
A date you set, or a date the customer promised.
Payment plan
Each instalment lands on the date the plan says.
Customer's pattern
The due date, moved by how early or late they usually pay.
Due date
Used when there isn't a pattern to go on yet.
Not counted
Doubtful debts stay owed but leave your expected figures.

Promises and payment plans, kept track of for you.

When a customer says they’ll pay, log it. When they can’t pay in full, your reminder emails offer a secure link to apply for a payment plan, and your rules decide whether it’s accepted on the spot.

  • A promise that isn't kept is marked Promise broken, and the customer goes back on your list to chase.
  • Choose what happens when a customer applies: accept when it meets your rules, always accept, or always ask you.
  • Every plan is followed: Plan on track, Plan behind or Plan broken.
  • Agree a payment plan yourself when you settle terms over the phone.

What you’re owed shows up in your cash flow forecast.

Expected dates, promises and plan instalments flow straight into the Business cash flow forecast. You see who pays when, and what happens to your cash if one of them doesn’t.

  • Only the amount a customer promised moves to the promised date. The rest stays on its own expected date.
  • Debts you doubt are left out, so the forecast never counts money you don’t believe in.

Chase a whole list in one go, and see who’s left out first.

Pick a schedule or set your own days, and write the wording once. A customer with several invoices gets one email covering all of them. Before anything goes, the preview shows who is skipped and why.

  • Reminders stop for anyone who has paid or is on a plan. Switch off Automatic chasing for a customer, or pause reminders with a date to resume.
  • Templates fill in the customer's name, the balance and a payment link. With GoCardless connected, invite them to set up Direct Debit.
Do you still expect to be paid for this?
Yes, we expect it
It stays in your expected figures and your forecast.
Not sure we'll get it
It stays owed, and comes out of your expected figures and the forecast.
No, we've given up on it
Write it off, with VAT bad debt relief claimed when the rules allow.

Common questions

How are reminders scheduled?
Pick a Gentle, Standard or Aggressive schedule, or set your own days. Each stage has its own template, Before Due, On Due Date and After Due, with fields for the customer's name, the balance and a payment link.
Will a customer get one email per invoice?
No. When a customer has several invoices to chase, one email covers all of them. Before anything goes, the preview shows who will get a reminder, who is skipped and why.
Can I stop chasing a particular customer?
Yes. Switch off Automatic chasing for a customer, or pause reminders, with a date to start again if you want one. Anyone who has paid, is on a payment plan or is marked doubtful is skipped as well.
How is the expected payment date worked out?
From the best information there is: a date you set or a promise the customer made, a payment plan's instalment dates, the customer's own pattern learned from up to their last 12 settled invoices, or the due date. The source is shown next to every date.
